RI Tax ID Registration

Rhode Island Tax accounts must be registered by household employers directly. We at Nest Payroll wish we could do this for you! You will need to wait until you have a federal EIN and have paid $1,000 in wages in a quarter.

Here are your instructions:

1- Have you paid $1,000 in wages in a quarter?

2- Do you have your federal EIN? To view your EIN click on the upper left circle and then click on Tax Information. It should be the first number at the top in this format: XX-XXXXXXX. Nest Payroll usually obtains this number for you.

If YES to both 1 and 2, please proceed.

Step 1: Register online here: RI Division of Taxation Combined Online Registration Service

Important items for your registration:

  1. You are a sole proprietor/sole owner/individual (you are not a “LLC/sole proprietor” combination).

  2. Your NAICS code is 814110 - Private Households.

  3. You can describe yourself as a household employer and that the service is for domestic help.

  4. Say YES to withholding, which will start as soon as you have paid $1,000 or more.

    1. Select “Withhold less than $50/month”, which requires quarterly filing. Do not elect any other amount as Nest Payroll only handles quarterly filing which is appropriate for household payroll.

  5. Please refer to your pay stubs (Recent History) to determine the date you paid $1,000 +, or feel free to text us for the exact date. You can find this answer by looking at the YTD (year-to-date) total gross pay on the most recent paystubs.

Step 2: Wait for the RI letters to be sent to your home address with your tax IDs. They will only be mailed to you.

Step 3: As soon as you receive a letter, provide a photo of the letter to us either through text or email, under Support. We need both your RI Department of Revenue (withholding) and your RI Division of Taxation (unemployment) letters, feel free to send them to us as you receive them. The registration above was a combined registration for both tax IDs.
